1. Introduction
These Terms & Conditions form the basis of your contract with Villa Palm Kalkan ("Villa Palm", "we", "us" or "our"). Please read them carefully before making a booking.
The person making the booking ("Lead Guest") accepts these Terms & Conditions on behalf of all members of the party and confirms that they are authorised to do so.
By paying the booking deposit, you confirm that you have read, understood and accepted these Terms & Conditions.
2. Making a Booking
A booking request can be made through our website, email or other agreed communication channels.
A booking is not confirmed until:
- Availability has been confirmed by Villa Palm;
- The required booking deposit has been received; and
- A booking confirmation has been issued by Villa Palm.
We may temporarily hold dates for up to 48 hours while you decide whether to proceed. A reservation hold does not constitute a confirmed booking.
If the booking deposit is not received within the reservation period, the dates may be released without further notice.
3. Booking Deposit
A non-refundable booking deposit of 30% of the total rental cost is required to secure a booking.
Upon receipt of the booking deposit, your reservation becomes confirmed and the dates will be removed from availability.
The booking deposit forms part of the total rental cost and is not an additional charge.
4. Balance Payment
The remaining balance of 70% must be paid no later than 6 weeks before arrival.
For bookings made within 6 weeks of arrival, full payment is required at the time of booking.
If payment is not received by the due date, Villa Palm reserves the right to cancel the booking and retain any sums already paid.
5. Security Deposit
A refundable security deposit of £250 is required for all bookings.
The security deposit must be paid prior to arrival.
Access details, directions and check-in information will only be provided once:
- The rental balance has been paid in full; and
- The security deposit has been received.
The security deposit is held against:
- Damage to the property;
- Damage to furniture, fixtures or equipment;
- Missing items;
- Excessive cleaning;
- Breaches of these Terms & Conditions.
The security deposit will normally be refunded within 7 days of departure following inspection of the property.
The Lead Guest remains responsible for any loss or damage exceeding the value of the security deposit.
6. Cancellations by the Guest
All cancellations must be made in writing by the Lead Guest.
If you cancel your booking, the following charges will apply:
- More than 42 days before arrival: loss of booking deposit (30%)
- 42 days or less before arrival: 100% of the rental cost
We strongly recommend that all guests obtain comprehensive travel insurance covering cancellation and travel disruption.
7. Changes by the Guest
Any request to amend dates or guest details should be made as soon as possible.
Whilst we will always try to accommodate changes, they cannot be guaranteed and may be subject to additional charges.
Any approved amendment may be treated as a cancellation and rebooking where necessary.
8. Occupancy
Only the guests named on the booking may occupy the villa.
The maximum occupancy of the villa must not be exceeded without our prior written consent.
At least one member of the party must be aged 25 years or over.
Subletting or transferring the booking to another party is not permitted without our written approval.
9. Your Responsibilities
Guests agree to:
- Respect the property and its contents;
- Leave the villa in a reasonable condition upon departure;
- Report any damage or maintenance issues promptly;
- Respect neighbours and avoid excessive noise;
- Comply with all local laws and regulations.
Parties, events, weddings and commercial activities are not permitted unless expressly agreed in writing.
Villa Palm reserves the right to terminate a stay without refund where guests behave irresponsibly or breach these Terms & Conditions.
10. Arrival and Departure
Unless otherwise agreed:
- Check-in is from 4:00pm
- Check-out is by 10:00am
Late departures may incur additional charges if they affect cleaning or incoming guests.
11. Swimming Pool & Safety
Guests use the swimming pool, terraces, balconies, stairs and all outdoor areas entirely at their own risk.
Children must be supervised by a responsible adult at all times.
Guests are responsible for ensuring the safety of all members of their party during their stay.
12. Complaints
Should any issue arise during your stay, you must notify us as soon as reasonably possible so that we have an opportunity to investigate and resolve the matter.
We cannot be held responsible for issues reported only after departure where no opportunity to rectify the matter was provided.
13. Liability
Villa Palm shall not be liable for:
- Loss, theft or damage to personal belongings;
- Personal injury, illness or accident except where caused by proven negligence;
- Temporary interruption of utilities, internet, television or local services outside our control.
Our total liability shall not exceed the rental amount paid for the booking.
14. Force Majeure
We cannot accept responsibility or pay compensation where the performance of our obligations is prevented or affected by events beyond our reasonable control.
Such events may include:
- Natural disasters;
- Extreme weather;
- Government restrictions;
- Epidemics or pandemics;
- Utility failures;
- Civil unrest;
- Transport disruption.
In these circumstances we will endeavour to offer alternative dates where reasonably possible.
15. Privacy
Personal information provided during the booking process will be used solely for administering your booking, complying with local legal requirements and communicating with you regarding your stay.

16. Governing Law
These Terms & Conditions are governed by the laws of England and Wales.
Any dispute arising from a booking shall be subject to the exclusive jurisdiction of the courts of England and Wales.
